This policy explains how HUTECH Robotics Ltd (“HUTECH”, “we”) handles public website enquiries and data in the HUTECH Brain — our internal control centre at ai.hutechrobotics.com — including when it connects to third-party services such as Google Ads and QuickBooks Online.
Who this applies to
This policy applies to visitors to hutechrobotics.co.uk, including people who request a robot demonstration, and to the private HUTECH Brain used by HUTECH staff to run sales, service and robot rentals.
Demo and rental enquiries
When you request a demonstration, we collect the details you enter, such as your name, venue, contact details, address or postcode, preferred date and the information you give us about your venue and interests. We use them to assess service-area and venue suitability, create a prospect record in the HUTECH CRM, arrange the demonstration and follow up on your enquiry. If you use a HUTECH partner's referral link, we also record that referral so the enquiry can be attributed and handled correctly.
Google Ads measurement and cookies
The rental website uses the Google Ads tag to understand whether an advertisement leads to a completed demonstration request. The conversion event contains no form-field contents: we do not send your name, email address, phone number, venue, address or postcode to Google through this event.
Google Consent Mode defaults advertising, analytics, user-data and personalisation storage to denied. Optional Google measurement cookies are enabled only if you select Accept measurement. If you reject them, the consent signals stay denied; the tag may send limited cookieless measurement signals for aggregated conversion modelling. Your choice is stored on your device and can be changed using the Cookie settings button on the rental website. Google's own handling of these signals is described in its Privacy Policy.
QuickBooks Online data we access
When an authorised administrator connects QuickBooks Online, the Brain accesses only the accounting data needed to raise and track HUTECH’s own rental invoices, namely:
- Company information (company name, to confirm the connection)
- Customers (to create or match the customer an invoice is for)
- Items / products & services (to reference rental line items)
- Invoices and their payment status (to create invoices and read whether they are paid)
We request only the accounting scope. We do not access payroll, banking login credentials, or unrelated financial records.
How we use it
QuickBooks data is used solely to create rental invoices, reconcile payment status against rental contracts, and keep HUTECH’s records consistent. It is processed for our legitimate business interest in running our finance and rental operations.
Storage & security
Connection tokens are stored on HUTECH’s server and used only to make authorised API calls on our behalf. Access to the Brain is restricted to authenticated HUTECH staff. We do not sell data, and we do not share QuickBooks data with third parties except the service providers strictly required to operate the application (e.g. hosting and email delivery).
Disconnecting
An administrator can disconnect QuickBooks at any time from within the Brain, which revokes the stored tokens. You may also disconnect the app from within your QuickBooks account settings.
Retention
We retain enquiry and business records only for as long as needed to respond, manage a potential or active customer relationship and meet legal obligations. Accounting records are retained for the required legal period. Connection tokens are removed when the integration is disconnected.
Your choices and rights
You may ask us for access to, correction of or deletion of your personal data, or object to particular uses, where those rights apply. You can also change your Google measurement choice at any time through the rental website's Cookie settings button.
